Privacy Policy

Purpose of Collecting Information

The Postgraduate Medical Council of Victoria Inc (PMCV) is a non-profit association established to support the education, training and career development of hospital medical officers. The PMCV will only use or disclose information for the primary purposes for which it is collected, having regard to the functions and activities of the Council.

 The PMCV is committed to protect the privacy of those involved in its processes. The National Privacy Principles under applicable privacy legislation will regulate PMCV’s processes. PMCV has adopted these principles as part of its business procedures and operations.

 Use of Personal information

The PMCV conducts computer matching and provides assistance for applicants and hospitals for relevant positions in hospitals and other health institutions, and develops accreditation processes and standards in connection with its work.

The PMCV also provides participants with access to information, education and training materials and details of other relevant news and events. It conducts research and undertakes projects on a range of issues affecting health professionals.

 Scope of information collected by the Computer Matching Service

PMCV collects and holds information regarding participants under its processes and operations. Relevant personal information is provided to hospitals and health institutions, and others involved in these processes. Similarly, PMCV obtains and disseminates information from hospitals and health institutions regarding posts and positions available.

Details of personal information collected by the Matching Service are included in:

  • A Candidate’s Priority List
  • A Referee Assessment Form
  • A candidate’s Curriculum Vitae

The information collected is also used by PMCV to undertake training, education and research.

 Release of information

PMCV may disclose relevant information to those involved in these processes and procedures either on a de-identified basis or, where relevant, on an identified basis, particularly to parties in the matching service. Hospitals participating in the matching service undertake to use the information provided only for selection purposes and not to disseminate any personal information to any other persons not involved in the selection process.

A hospital may retain a candidate’s CV and Referee Assessment Forms if that candidate is matched to, or accepts, an unmatched post.  Documentation submitted by candidates who were not matched or offered a post, will destroyed after the finalisation of any appeals process in accordance with legislative requirements.

Participants in the PMCV’s processes, particularly its matching service, consent to the collection, use and disclosure of information on this basis.

 If you concerned that PMCV may have handled your personal information inappropriately, please contact our Privacy Officer on +61 3 9419 1248. All privacy enquiries are to be taken seriously and we will endeavour to deal with them promptly some cases, we may require that your concerns be put in writing.

 If you would like to access or update any personal information, or exercise your rights under the privacy legislation, please contact our Privacy Officer. It is our policy that all requests for access be made in writing. Our Privacy Officer will arrange for an access form to be sent to you, and can assist with any enquiries you may have about the process. We will respond to all requests for access within 30 days, most cases we will be able to respond well before that time.
